I've recently started experimenting with a new outlining/project managment program, My Life Organized, http://www.mylifeorganized.net It is similar to Lifeballanced but comes in three versions lite (free), standard, and pro which includes a sync to Outlook. The program seems young in its development but is being actively devleoped and they are very open to suggestions. It currently does not sync to a palm or ppc, however if you sync to Outlook, you can transfer your data.
I'm only three days into the demo, but I would be interested in hearing what other people think.

I don't mean to sound negative but it looks _exactly_ like LifeBallance. Have you discovered any differences while evaluating it ?

It is very similar, execpt the devloper is working on the long time complaints of LB. Hiding completed tasks, formating options, etc. Plus it can sync directly to and from Outlook without having to do a double sync through your palm.

The LLamas ignore Outlook and the Pocket PC platform constantly and ride the horses palm and mac. I guess the best what could happen is that they are getting some competition now.

I would not say that it is _exactly_ like LB.
It took many good things from LB indeed and there are some improvements. After using it for 2 days I would list these new features I like:
- goal setting (weekly goal brings task on the top of to-do)
- project tracking
- special views for both items above
- sync with outlook (quite smart btw)
- hide completed tasks in outline
- you can assign more then one place to a task
- hide in to-do option
- nice interface
What I do not like that there is no calendar and recurrent tasks. And no "balance" feature. There is a list of planned features somewhere on their site though. http://www.mylifeorganized.net/ (I did not review it carefully)

He mentioned for example user interface improvements. There is also discussion about to-do ordering and some ppc plans :) (what I like!)
So I would recommend trying this app.

I don't agree, there is a huge amount of stuff that needs to be done on the Mac side and there have be no big improvements on the Mac version since they released it.

The other thing that seems incredibly refreshing about this software is how open the developer is about new features. The LB folks always took the typical sofware company stance of not talking about such things.

The more I use this app, the more I'm impressed with how well thought out it is. It is so much easier to integrate goals, projects and planning into daily activities. I've used tools like Mind Manager, Results Manager, Life Balance and others, but while they all have individual strengths, they are just to cumbersome and I end up spending too much time tweaking the system vs. using it. Anyway, I'll keep plugging away here, and I look forward to seeing how this app evolves.

I liked it so much that I even wrote few (simple, though) converters between MLO and LifeBalance, Shadow and Bonsai, so that, if nothing else, you can spare some time on testing by importing your existing outlines. They are available via MLO discussion/support group.
Btw. MLO got facial lift in the meantime (right pane) and few new features (time estimate and filtering,...)

MLO is in constant development. They have just released a new version that includes:
MindManager import/export. Exported document should be opened in MindManager automatically. Save your document in MindManager using XML format and you can import it to MLO.
Export to Excel. Exported document should be opened in Excel automatically. You can use all power of Excel to create any reports. For example you can use Excel Autofilter to select tasks completed last week and print them etc.

I have just purchased MLO. I have set it up to run on a USB drive. It is great because it doesn't require any installation on the host computer, meaning you don't need administrator rights to see your data. Running MLO on USB drives allows me to take my data with me between the three computers I use (PC at home, PC at work and laptop while traveling), as well as any other computers which I may end up using along the way.

Giving it a test run. Going to use it as a "Personal Trainer Goal setting / Project manager". I like the way it's laid out. Very simple but yet does accommodate the breaking down of tasks into more basic parts, I really like that feature. Visually it looks nice. I think its strength is its simplicity. It's not going to replace my other time management software but complement it. I am motivated to use it more for personal / home and a big business project. Do not want to clutter my business scheduler with the personal and the "project". Right now using Palm scheduler for the road, outlook for office, and need something other for health and a separate unit for a big stand alone project. It sounds like I got software overkill but having my projects in different programs keeps one program from getting cluttered with long lists. I consider each to be its own filing cabinet of tasks pertaining to specific hats I must wear. Since I am a one man show I change roles and found having Outlook and Palm scheduler easier then cramming everything into outlook. If the lite version turns my crank, getting the professional version. So far I like it a lot.

My honest opinion is that the FC software is the worst calendar/todo software around. The trials and tribulations FC has inflicted on an unsuspecting public by the serious bugs and lack of support are unbelievable. The company closed their software support forum because it was all complaints! Their paper products continue to be useful, but their software is terrible. You will be better off with anything else.

Just want to second that opinion about the Franklin-Covey PlanPlus software -- dreadful, unusable stuff. I couldn't un-install it fast enough. It ate my Palm Calendar and To-Do lists, too -- just blew them away without warning & replaced them with their own software. I had a terrible time recovering from this harmful installation. The Windows desktop software looks great -- emulating a paper organizer with spiral-bound notebooks, lined paper, folder tabs, etc. -- until you actually try to use it. Then it violates pretty much every expectation of how a well-behaved Windows app should behave. The "demo" that appears on the FC website is not the software you get when you buy PlanPlus. Really verging on the criminally negligent, and a spectacular blunder for Stephen Covey to allow his name and reputation to be attached to this product.
I'm a couple days into my 30-day trial of Life Balance, and so far it seems like a well-designed, well-behaved piece of software that lets me smoothly carry my to-do list between Windows, Palm and Mac, without a hiccup so far (knock wood). I haven't done the "balance" stuff yet but just having a hierarchical to-do list that syncs cleanly between all three platforms is a great start for me!

Although it took me a long time to get a really good GTD set-up with Life Balance, I am very happy with it now, and all platforms work very well. Although I have never had problems, the folks at Llamagraphics have an excellent reputation for customer support, and I would not hesitate to contact them if problems arise.

I'm also just a few days into the trial time for LB but I'm mainly interested in using it on my Palm T3.
Synching (albeit longwinded) with company based Outlook is useful but not a primary requirement.
As with any of these tools, it takes quite a while to set up, and I would prefer not to have spent all this time to find that it is not up to the task.
I think it is probably the best example of each to his own I have seen :smile:

The Sync to Outlook has been greatly enhanced and a public beta was pushed out today complete with testing documentation and a glimpse of the calendaring features to come. Via this update Palm and PPC users are supported via outlook synchronization. The forthcoming ppc release will of course improve native support for the ppc. Suggestions from Palm users on how to improve the sync "via outlook" are certainly welcome....
After using it for 2 days I would list these new features I like:

I don't want to sound arrogant, but I could write a book about my adventures with various time-management solutions - software and paper-based. Adventures that took me almost ten years. My impression: MyLife Organized is a program that was written by a person with the need of order in a constantly faster life. The first program of its kind. And it's a remarkable tool - both in terms of usefullness and completeness, and in terms of quality.
Thank you for such a great program, and thank you for making it lightweight and portable at the same time.

I agree MyLifeOrganized is an excellent attempt for the "best GTD software award"!
But... I have to say, I have some frustrations with it. It may be that I've got used to working in a certain way with Outlook. So, of course, I want some features that Outlook has but with the improvements of MLO...!
In MyLifeOrganized I do like the ability to organise projects and subprojects hierarchly and to easily move next actions from one project to another.
But, when I write a next action (or task) I don't always want to assign a project to it. In Life Organized, this is actually quite difficult. It always enters the action within a project by default and it takes work to take it out of a project.
Also, I want to be able to look at my complete to do list and decide what I will do that day. Having to flick through all Contexts (Places in MLO) one by one is a pain. In Outlook one can have them all in front of you and then put a high priority on each task and then have a new View to only see high priority actions for that day. That helps me focus and not worry about all the other things on my lists.
Maybe people have found ways to address these issues in MLO, and I'm very keen to hear, but if not, I hope the people at MLO deal with the querks. (Ive sent them an email). For now I have gone back to Outlook, with Contacts as Projects, which is also an excellent software for GTD.
Just thought I'd write to share my perspectives. It's still a great program.

I see, however you can always use Rapid Task Entry dialog and do not assign a new task to any project. Then return to this task later and reassign if needed. It is very fast.

I understand your concern. Sometimes I have the same problem with MLO myself. This is why I plan to add planning and advanced views functionality to MLO. They are discussed on MLO forum.It would be neat to have a drag and drop todo list view that allowed drag and drop to that view and allowed drag and drop order within that view. I realize that yes I can assign a specific place to any number of items, but, while looking at the list view, I would like to pick out the items I want to work on now, or today, and and put them in a window and drag them into an order that I want to work on them. In my mind, this is pure GTD, even though it is described as a mental task by David instead of a physical. We are to look at an, in some cases, overwhelming amount of information and plan our morning or day. Well, if those next actions are in a "system", why do we have to remember those things? Why do we need to jot those items on a post-it note? And why do we have to keep looking at all the other things that we have already looked at today and decided that we are NOT doing?
Part of GTD is removing from our mind the things that we have decided to not think about or do, but with Life Balance and MyLifeOrganized, there they always are.

I hadnīt seen the the Rapid Task Entry facility which goes some way to meeting my concerns.
I agree with tim99! At present, to get a to do list for the day I mark next actions as high priority in Outlook, then switch to a View I've created to see only high priority tasks, then copy and paste to Word, and then adjust the list order (with accompanying Contexts) according to my movements and percieved energy levels that day.
It's a worthwhile thing to do as it gets me focussed on the important things for that day and helps me forget the rest, but it would be great to have a facility in MLO such that I could do this a lot quicker.

You may have figured something like this out already, but I've created a Project called NoProj for all my single, one-off NAs. It works for me until there is a different option available.

Some new features from latest release:
- Just type phrase like "Send report to Jim next Monday 6pm remind me 10 min in advance " in Rapid Task Entry dialog and MLO will parse it creating new task in your outline with appropriate parameters and reminder.
- improved drag&drop items from Outlook to MLO
- click to "I have" link on ToDo tab of main window to calculate the time you have before next appointment in your Outlook calendar
- MLO could insert and open relative path links in task notes
- show the number of days due or left for tasks in the outline instead of task date

I have just downloaded the trial version and it looks very good. Reviewing previous posts on this forum has been useful.
For NON-Project Tasks/Reminders for those single NA issues, I have created a high-level group/task called "T2BD" which stands for "Things To Be Done", an acronym I have used for much of my 59 years (one is never too old to stop learning or trying!).
I then put the single-action NAs under this group with place and time as necessary eg in a few minutes I expect the reminder to pop up for "Anti-flea treatment for Tigger". This has happened and been rescheduled because Tigger is nowhere to be found, that darn cat!
Questions
(1) How many readers have integrated with Outlook, have the earlier problems been resolved?
(2) Comments on MLO Mobile? Integration issues? Do the reminders pop up on the PPC? I use a WM2003 on my iPaq 4150.
I see some readers of this forum have abandoned Outlook tasks in favour of MLO, but surely this means one is forced to use MLO Mobile.
Development: I know the MLO developer reads this forum. Any longer term plans to have Tablet functionality? I am trying out TEO (Tablet Enhancements for Outlook) which is useful in meetings etc, so I guess I will have to go for Outlook integration to save me having to recapture OutLook/TOE items again in MLO.

I am glad to announce new MyLifeOrganized application named OneAlert - advanced reminder system with simple calendar. GTD speaking OneAlert is a manager of actions which require less then 2 minutes of your time and need to be done at a specific time: "Call Katrin in 10 min", "Remind Jim about report tomorrow at 3pm" etc.
You usually do not track such activities in your advanced task management system.You should not spend much time to manage these actions so we tried to design OneAlert extremely easy to use and powerful in the same time.

I am about to try MLO for the first time, and I am curious if people use it for Ubiquitous capture. If so, how? It seems like a great next-step organizer, but how about for Ubiquitous Capture.
In honesty, I haven't used the program, but will soon. Ignore the question if my answer will soon be obvious through use of the program.

I'm wondering if anyone is successfully using MLO with the Outlook Add-in. I've spent more time than I care to count trying to make this work, have already spent time looking on the MLO Google forum, have tried mapping the fields, between apps, etc.
I love, love, love MLO for providing a hierarchical look at all my horizons of focus, projects, etc but still want to use the add-in. I have an additional fantasy that I could have one week's worth of actions on the task list next to my calendar in Outlook. Has anyone pulled this off? I'd love to hear from you.
Any help would be greatly appreciated.

We were hacked that day and restored just in a few hours after the attack. However it took days for Google to remove us from the black list :(

Would you know if MyLifeorganized has the ability to copy a project or create project templates that I can copy and customize?
I have been looking at this pim since it'll work with my phone. I have quite a few projects that recur occasionally and just have to be customized a bit to the new project. My current system lets me have project templates I can reuse over and over. I would like to be able to do that with my new pim.

Yes MLO will do this. MLO is nothing if not flexible!
1. MLO supports xml export and import, so you could set up a file to be your "template file" with a predefined list of tasks, dates contexts etc. You could then export from that file as xml, and import into your working file. This could be done on your phone. The date and context criteria will be included in this process. Or, you could keep a template list of tasks in the outline for your working file and then just copy and paste that when you need to start a new project. Again this could be done on the phone.
Both the above items could also be done on the Desktop Client as well.

Why a desktop app? Why not a web app? Desktop apps are outdated IMHO. I have at least 3 PCs I access daily. Often an install is prohibited or doesn't make sense. Will it be possible to access MILO over the web without installing anything as well?

Yes you are right about web apps. However we need time to develop it right. Still thinking about it.
We have solid desktop MLO application which runs from your USB stick and does not require installation.
So we decided to start using Internet sync to allow users to sync between Desktop app and their mobile devices over the air first and then we will think about the web app.

We already localized MLO and released Russian version. So we plan to release MLO with functionality to integrate translations to other laguages. Once we ready anyone can translate the resources and integrate them to MLO. And there are people who already willing to translate from English to German, Spanish etc...

Hi Al,
1.
The current version of MLO for iPhone supports MLO-Cloud so that you can sync anywhere.
We are working on WiFi sync and it will be available in next versions. In addition to the Cloud sync you will be able to sync to your PC connected to the same WiFi network.
2
You can assign a location for any context in MLO-iPhone. Then MLO can show you the tasks which can be done near you (tasks with assigned contexts which have locations).
he NearBy view shows only the Next Actions sorted by the distance to the assigned locations. The actions which are already completed or not ready for the completion yet are NOT shown. So you always see only Active Actions ready for your attention near you.
For example: you can assign a Location for the context @Office. Now when you near your Office you will see your Office tasks on top automatically in NearBy view. If task assigned to @office depends on other task or scheduled to future it will not be shown. When this task is ready (other task completed or it is time for the scheduled action) the task will appear in NearBy view automatically.
To add more power to this feature you can include one context into another. This way if you can do a task in different locations such as shopping you can create a context for each shop with location and then include all shops to a single context @Shopping. Now when you select NearBy feature you just need to filter the tasks by @Shopping and you will see all your shopping tasks with the nearest shop on top.
Note that since contexts have Open/Closed hours you will see the tasks for this contexts only if this context is open now. So if the shop is closed you will not see the tasks since you cannot complete them.

But, when I write a next action (or task) I don't always want to assign a project to it. In Life Organized, this is actually quite difficult. It always enters the action within a project by default and it takes work to take it out of a project.

Hey Tom,
I just started experimenting with the Light version today and ran into the same thing. My workaround is simply to create a "one-offs" and/or "unassigned" project that contains a list of actions not associated with a project, or bound for future but presently unknown designation. This seems to work well. Also, it seems quite easy to take tasks in and out of projects-drag and drop.
