View Full Version : How to view @ the same time appointments and Task relate to same project!

Hi there,
I am new with GTD practice, I come across maybe six months ago, this forum is great. Quick question and how do you view a task and appointment relate to the same project?.
For example: I work with real estate, I have a house for sell, the address is 234 Avenue Road, so I make the address the name of my project. I want to be able to view and one single screen how the project is moving.
Project: 234 Avenue Road
Task: Call mortgage broker
Task: Arrange for home inspection
Task: Arrange for transfer title
Appointment: Joe Blow 2:30PM viewing
Appointment: Big money guy for mortgate
Any suggestion and how to arrange the view of outlook to accomplish this ?

What system are you using? As far as I know, that's not possible in Outlook except for treating your project as a contact and assigning all relevant appointments and tasks to it. That is discussed in another thread. Apparently, Entourage allows you to view everything related to a project in the same view. Makes me wish Macs were more affordable.

Actually you can do it in Outlook. Use Categories to indicate what project you're working with, then use Find or Advanced Find to search across multiple folders.

It'll accumulate a list for you of all the items that have the common category regardless of if they are tasks, appointments, e-mails or other.

Granted this is not as nice as it could be and hopefully this will be substantially improved in the next version (due sometime late next year reportedly) but it is workable.

There are a few threads on this so I won't repeat them here. Then use the advanced find to search for the project name. If you have implanted the project name into your appointments as well as your task they should all come up.

For a while I was using keywords in Outlook items so that I could find them with a search. It would be so much nicer to be able to view all items related to a single project with less searching though. I've been trying to avoid category overkill.

There's no reason why you can't create a separate field in Outlook called "projects". The only real problem with it for at least some of us is that the field won't sync to a Palm pilot.

Hi kids,
Thanks for the input, I still thinking that is important to be able to view and project with all the action and NA that need to be taken, appointments,task, journal entries etc..
This ability would allow the user to make a quick decisions about the next action to be taken.
I come across this site tag tab software anyone and this fourm know this software.
